Ethical Policy for Emanate - Insights from the Artificial Intelligence Symposium Series (EAISS)

Introduction

This Ethical Policy governs the practices of the Emanate - Insights from the Artificial Intelligence Symposium Series (EAISS) to ensure ethical conduct in all aspects of our publication process. Authors, editors, reviewers, and other participants in the EAISS are encouraged to familiarize themselves with these guidelines and direct any questions or concerns to admissions@emanate.education.

Author Roles and Responsibilities

  • Authorship Criteria: Authorship should reflect significant contributions to the conception, design, execution, or interpretation of the reported study. Authors are expected to have participated sufficiently in the work to take public responsibility for the content.
  • Acknowledgment of Contributions: Contributors who do not meet the criteria for authorship should be listed in the acknowledgments section.
  • Originality and Plagiarism: Authors must ensure that they have written entirely original works. If the authors have used the work and/or ideas of others, this must be appropriately cited or quoted.
  • Multiple, Redundant, or Concurrent Publication: Authors should not submit the same manuscript to more than one journal concurrently. It is also inappropriate to submit a manuscript that overlaps substantially with one already published.
  • Data Access and Retention: Authors may be asked to provide the raw data of their study together with the manuscript for editorial review and should be prepared to make the data publicly available if practicable.
  • Disclosure and Conflicts of Interest: All submissions must include disclosure of all relationships that could be viewed as presenting a potential conflict of interest.

Review and Publication Process

  • Editorial Decision-Making: The acceptance or rejection of manuscripts is based solely on the manuscript's significance, originality, and clarity, and the study's relevance to the remit of the journal.
  • Confidentiality: Editors and editorial staff will not disclose any information about a submitted manuscript to anyone other than the corresponding author, reviewers, potential reviewers, other editorial advisers, and the publisher, as appropriate.
  • Disclosure and Conflicts of Interest: Unpublished materials disclosed in a submitted manuscript must not be used in an editor's own research without the express written consent of the author.

Reviewer Responsibilities

  • Contribution to Editorial Decisions: Peer review assists editors in making editorial decisions and, through editorial communications with authors, may also assist authors in improving their manuscripts.
  • Promptness: If a selected reviewer feels unqualified to review the research reported in a manuscript or knows that its timely review will be impossible, they should notify the editor and excuse themselves from the review process.
  • Confidentiality: Manuscripts received for review must be treated as confidential documents.
  • Standards of Objectivity: Reviews should be conducted objectively, and observations should be formulated clearly with supporting arguments.
  • Acknowledgment of Sources: Reviewers should identify relevant published work that has not been cited by the authors.

Ethical Guidelines for Human and Animal Research

  • Human Subjects: Research involving human subjects must adhere to ethical standards and receive approval from an appropriate institutional review board or ethics committee.
  • Animal Subjects: Research involving animals must follow institutional, national, or international guidelines, and approval must be obtained from the appropriate institutional review board or ethics committee.

Data Availability and Reproducibility

  • Data Transparency: Authors are encouraged to present their data transparently and, where applicable, provide access to this data.
  • Image Integrity: Authors must ensure the integrity of images and not manipulate these in a way that could lead to misinterpretation of the information.

Publication Ethics

  • Plagiarism Prevention: EAISS utilizes advanced plagiarism detection software to ensure the originality of submitted manuscripts.
  • Fabrication and Falsification: The fabrication of data and the falsification of results and their presentation in the manuscript are serious ethical violations.
  • Complaints and Appeals: EAISS handles complaints and appeals in accordance with the guidelines provided by the Committee on Publication Ethics (COPE).

  • Authors are advised to refer to the COPE guidelines, ARRIVE guidelines, Helsinki Declaration, ICMJE recommendations, and other relevant literature to ensure adherence to ethical standards in publishing.
